Privacy Policy

RoomParent is a small tool that helps room parents organize a classroom. We collect as little as we can, we never sell it, and we never show ads. This page explains, in plain language, what we keep and why.
The short version
- Accounts are for adults. Parents, guardians, room parents, and teachers use RoomParent. Children do not create accounts and should not use the site.
- Student details stay minimal. The class list holds a first name and last initial, a birthday month and day, and optional allergy and "favorite things" notes that a room parent or teacher chooses to add.
- Money is handled by Stripe. We never see or store your card number. Other families never see how much you gave, or whether you gave at all.
- No ads, and we never sell your data. We use Google Analytics 4, with IP anonymization on and Google signals and ad personalization turned off, to count visits and see which features get used. We never show ads on class pages and use no third-party ad pixels on this site. Email is only for the reminders you opt into and account notices.
Who we are
RoomParent (roomparent.dev) is an independent tool that started as a pilot with classrooms at Arroyo Elementary and is now open to any classroom. It is not operated by, endorsed by, or affiliated with your school, your district, or the PTA. Official school communication still happens through your school's own channels. What we collect
Your account. When you sign up we store your email address, your name, and an optional profile picture. Sign-in is handled by Clerk, our authentication provider, which may also keep basic security records such as sign-in times and device information.
Your classroom profile. During onboarding you tell us which classroom you belong to and your child's first name. You can also opt in to daily reminder emails and to a family directory. If you opt in to the directory, the contact information and note you type are shown to other families in your classroom. Both are off by default and can be turned off at any time in Account settings.
Student information. Room parents and teachers can add students to a class list. We deliberately store only a first name and last initial, birthday month and day, and optional free-text allergy and favorite-things notes. These are visible to signed-in families in that classroom so they can plan safe, inclusive celebrations. We do not collect student last names, grades, photos, addresses, or anything about academics or behavior.
Activity in your classroom. We record the volunteer slots you claim, the RSVPs you send, and the celebrations you propose, so the rest of the class can see what is covered. Helper names on volunteer slots are visible to families in the classroom.
Donations. If you choose to give to the class fund, Stripe processes the payment. We store the amount, the purpose you picked, and a Stripe reference so we can show your own giving history and the classroom total. Card details never touch our servers.
Guest sign-ups. A room parent may share a public link so a family without an account can claim a volunteer slot. A guest gives a name and an optional email. We save those in your browser so the form is prefilled next time. If that email later creates an account, the guest claims are attached to it.
Technical logs. Like every website, our hosting providers keep short-lived server logs (IP address, browser type, pages requested) for security and debugging.
Analytics. We count page views and feature usage (for example, "a volunteer slot was claimed") with Google Analytics 4. We configure it with IP anonymization and with Google signals and ad personalization turned off, so it is not used to build advertising profiles. The events we send never include your name, email, or anything that identifies you or your child. Google Analytics sets its own cookies to tell returning visits apart; Google's privacy policy covers how it handles that data.
How we use it
- To run the classroom hub: show announcements, sign-ups, the class list, and the fund progress to the right families.
- To send emails you asked for, such as daily reminders or a note when a waitlist spot opens. You can turn reminders off in Account settings.
- To record donations accurately and prevent duplicates.
- To keep the service secure and fix bugs.
We do not use your information for advertising, profiling, or any purpose unrelated to running your classroom.
Who can see it
- Families in your classroom see class-level information: announcements, who is helping with what, the class list, the fund total, and any directory details you opted to share.
- Room parents and teachers for your classroom can also add and edit the class list, announcements, and volunteer slots.
- Nobody else. Families in other classrooms cannot see your classroom. Individual donation amounts are visible only to the person who gave.
Service providers we rely on
We share data with a small number of providers only so they can do their job for us. Each is bound by its own privacy policy and security commitments.
- Clerk for sign-in and account security.
- Convex for hosting the database and app logic.
- Stripe for payment processing.
- Resend for sending reminder emails.
- Google Analytics 4 for aggregate usage analytics (IP anonymization on, Google signals and ad personalization off).
- Amazon when you follow a wishlist link. Once you leave RoomParent, Amazon's policies apply.
We never sell personal information and we do not share it with data brokers or advertisers. We may disclose information if the law requires it or to protect the safety of a child or family.
Children
RoomParent is designed for adults. We do not knowingly collect personal information directly from anyone under 13. The limited student details in a class list are entered by a room parent or teacher, not by the child, and exist only to help plan safe classroom activities. If you believe a child has created an account or that a class list contains more than it should, email us and we will remove it promptly.
RoomParent is not a "school official" under FERPA and does not receive education records from the school. Nothing about a student's grades, behavior, or special services should be posted here, and room parents agree to the school's confidentiality expectations when they volunteer.
Your choices and rights
- Update your name, child's name, reminders, and directory settings any time in Account settings.
- Opt out of the directory or reminder emails with one toggle. Guest browser data can be cleared through your browser.
- Access or delete your account and its data by emailing hello@roomparent.dev. We will confirm and complete deletion within 30 days. Donation records may be retained as long as needed for accounting and Stripe's requirements.
California residents have the right to know what personal information we collect, to request its deletion, and to not be discriminated against for exercising those rights. We do not sell or share personal information as those terms are defined in California law. Use the email above for any request.
Retention and security
We keep classroom data for the school year it belongs to, plus a reasonable wind-down period, after which it is deleted or anonymized. Accounts that have never joined a classroom may be removed sooner. Data is encrypted in transit and at rest by our providers, access is limited to what the app needs, and secrets are never stored in the browser.
Changes to this policy
If we make a meaningful change we will update the date at the top and, for anything that affects how your data is used, post a notice in the app. Continuing to use RoomParent after a change means you accept the updated policy.
